The problem
SmartCare's team was coordinating carers, clients and visits across spreadsheets, WhatsApp groups and paper notes. Schedules clashed, visit records were easy to lose, and pulling together a simple report meant a manual afternoon. As demand grew, the admin grew with it — and there was no single, reliable view of what was happening day to day.
What we did
- Sat with the team to map how care delivery actually works — from scheduling a carer to logging a completed visit
- Designed a custom system around that real workflow, not a generic template
- Built carer scheduling, client records and digital visit logging in one place
- Added a simple dashboard so the team can see the day at a glance
- Migrated existing records and onboarded the team so it stuck
